Everything you need to know about turning your inboxes into a structured, searchable candidate pool.

How does it connect to our email inboxes — and is it secure?
It connects to both mailboxes using IMAP / OAuth 2.0 with read-only access. Passwords are never stored in plain text, data is encrypted, and the platform only ever reads CV attachments — it never sends mail on your behalf.
Which CV formats can it read?
PDF and Word (.doc / .docx) CVs are parsed automatically. Scanned or image-only CVs that can’t be read are flagged and stored so a recruiter can enter them manually — nothing is lost.
How accurate is the automatic CV parsing?
The parser uses AI / NLP to extract standard fields — name, contact, skills, experience and location. Every newly extracted profile is marked “Pending review” so a recruiter can confirm or correct the data before it’s saved to the pool.
Can we bring in our existing candidates from a spreadsheet?
Yes. Download a ready-made Excel template, fill it and upload — the platform validates every row, flags errors and detects duplicates. You can also bulk-upload a whole folder of CVs at once.
How does it match candidates to a specific job description?
Open a JD, hit “Find candidates,” and the platform scores every CV in your pool against that JD’s skills, experience range, location and budget. Each field shows green (matched), amber (partial) or red (missing), with an overall match score per candidate.
Does it detect and prevent duplicate candidates?
Yes. If a CV arrives with an email or phone number that already exists, it’s flagged for review instead of creating a duplicate — on email ingestion, bulk upload and Excel import alike.
Can we control who can see and edit what?
Role-based permissions cover Admin, Recruiter and Hiring Manager, so each person sees only what they should. Every change is timestamped with the user and date for a full audit trail.
Where is our data stored, and is it compliant?
Candidate data and original CV files are stored securely in the cloud with daily automated backups. Data-privacy requirements such as GDPR / PDPA are handled in line with your operating region.
Can we export data back out, and does it cover interviews and offers?
The full pool or any filtered set exports to Excel in one click. Beyond sourcing, the platform also handles 3-level interview tracking, calendar scheduling, and an offer approval workflow — your whole process in one place.
How long does it take to get started?
